What to check
Check whether it is a payment for an existing invoice, a transfer, a duplicate or an item awaiting evidence. Review the statement and records before making an entry.
Guide
An unmatched transaction is a question to resolve.
Check whether it is a payment for an existing invoice, a transfer, a duplicate or an item awaiting evidence. Review the statement and records before making an entry.
Large or old unresolved items deserve particular attention. Do not force a match or invent supporting details just to make the screen look complete.
Check the date and amount against the statement, find the supporting invoice or receipt and establish whether the payment covers one item or several. Confirm whether it is a transfer between your own accounts. If the evidence does not explain it, leave a clear query for review rather than choosing a convenient category.
A handful of missing receipts may need a document collection routine. Several months of unmatched entries may need catch-up work. If the balances or earlier entries are unreliable, start with a scoped Xero health check. Previously filed periods and uncertain tax treatment require an accountant review route.
An unreconciled bank statement line has not yet been reconciled to a transaction in Xero. It is not automatically evidence that money is missing or that tax has been calculated incorrectly. The task is to establish what the statement line represents and match or record it using the supporting evidence.
Fictional example: a customer pays £600 against two invoices for £250 and £350. Looking for one £600 invoice would miss the explanation. Check the customer, remittance and invoice records before allocating the payment. Do not create another sale merely because a matching single invoice is absent.
A transfer can appear as money leaving one account and arriving in another. Check both statements and dates before recording it. Treating the two sides as a new expense and new income can distort the records. Ask your bookkeeper or accountant to review anything you cannot substantiate.
